When using the services and products of Mays Floorplans Limited, you agree to be legally bound by the following terms.

• All prices quoted are exclusive of VAT and are subject to change at any time;
• Exclusive price agreements are non contractual and are subject to change after 6 months;
• If orders are cancelled in excess of 3 working hours before an appointment you will incur no charge. If cancelled within 3 working hours of appointment time you will be charged a £45 booking fee;
• Regular customers will be invoiced on the last working day of the month and payment must be received within the agreed payment terms of the agreement. If payment is not received within this time, Mays Floorplans Limited has the right to charge Interest at 2.5% under the Late Payment of Commercial Debts (Interest) Act 1998. You will receive your invoice via email unless we are otherwise instructed by yourself;
• Digital photographs will be e-mailed to you on or before the next working day that we have visited a property. They will be sent as a JPEG file unless otherwise stated or instructed;
• Mays photographers will always photograph a property to the best of their ability. If for some reason a property is not photographable then you will be liable for an additional charge should we be required to return to the property to re-shoot;
• All floor plans will be emailed to you the next working day of visiting the property. Mays Floorplans Limited will archive images and floor plans for 60 days from visit. After this time retrieval of floor plans will be charged at £10 each and photos £10 each;
• All lease plans, in draft form, will be emailed to you for approval within 72 hours of site visit; once the plan has been approved and paid the final copy will be e-mailed to you. We cannot post lease plans until they have been approved. Mays Floorplans Limited will archive lease plans for 60 days from site visit. After this time retrieval of lease plans will be charged at £10 each;
• Visual resources are available on CD-Rom for an additional charge of £20 per CD. Images will be available for download 10 days after the instruction was completed. If the resources are required after this time you may be liable for additional charges;
• Mays Lease plans/licensing act plans are produced with the greatest of attention and accuracy. Mays Floorplans Limited takes no responsibility for customer lease applications should they be rejected forwhatever reason;
• Further major revisions after two sets of amendments to Lease Plans may be charged for;
• Mays Floorplans Limited shall exclusively own all copyright and other intellectual property rights relating to all visual material and resources produced by us.

Who are we?

Mays Floorplans provide property marketing services to corporate and private clients in London and selected areas of the UK. Our services include floorplans, Energy Performance Certificates, property photographs, lease plans and other bespoke property services as arranged.

How do we collect information from you?

We do not track general use of our website.

Information is collected from you when you complete our online booking form (using the Book Now form), when you contact us by email and/or when you phone us with an enquiry, booking or job application.

What type of information is collected from you?

The personal information we collect might include your name, address, email address, telephone number and other details about your organisations and requirements. The information you provide may include personal information relating to your customers (for instance vendor or tenant information) or other individuals and there is a tick box on our online order form to indicate you have the appropriate approval in place to release personal information relating to individuals other than yourself.

How is your information used?

We may use your information to:

• process orders that you have submitted;
• carry out our obligations arising from any contracts entered into by you and us;
• seek your views or comments on the services we provide;
• notify you of changes to our services;
• discuss services you provide on behalf of Mays Floorplans;
• process a job application.

If you have opted in to our marketing newsletter we may use your information to send you marketing communications that may be of interest to you. These may include information about promotions, new services and other activities relevant to property marketing and property management.

All vendor and/or tenant details are deleted from our systems after 30 days of the date on which the booking is completed.

Who has access to your information?

We will not sell or rent your information to third parties.

We will not share your information with third parties for marketing purposes.

Third Party Service Providers working on our behalf: Mays Floorplans have data sharing agreements in place with our Third party suppliers who may be processing information on our behalf to ensure the security of all personal information at all times. We share only information that is necessary to deliver the service requested.

You have a choice about whether or not you wish to receive information from us. Information provided for the purposes of ordering a service from us will only be used to in relation to your order.

When you give us personal information, we take steps to ensure that it’s treated securely. Any sensitive information (such as credit or debit card details) is entered directly into our secure payment portal (Payzone from Barclaycard) and our processes are in line with current credit or debit card information processing guidelines.

Non-sensitive details (your email address etc.) are transmitted normally over the Internet, and this can never be guaranteed to be 100% secure. As a result, while we strive to protect your personal information, we cannot guarantee the security of any information you transmit to us, and you do so at your own risk. Once we receive your information, we make our best effort to ensure its security on our systems. We ask you not to share your password with anyone.

Mays Floorplans do not carry out customer profiling.
